Control what each team member can see and do across leads, clients, invoices, and settings.

Roles & Permissions

Not everyone on your team should be able to do everything. Roles let you control who can view, edit, or manage each part of your studio's workspace — from leads and contracts to invoices and settings.

What it's for

When you invite someone to your organization, you assign them a role. That role decides what they can see and change. This keeps sensitive areas — like financial settings or billing — limited to owners and admins, while giving your sales or production team exactly the access they need to do their job, and nothing more.

The available roles

Your workspace comes with a set of built-in roles suited to a photography/events studio:

  • Owner — full access to everything, including billing and organization settings. There is always at least one owner.
  • Admin — near-full access, same day-to-day permissions as owner, minus certain account-level controls.
  • Manager — full operational access (leads, clients, events, tasks, proposals, contracts, invoices, followups) but can only view (not change) organization settings and integrations.
  • Sales — can create and manage leads, clients, events, proposals, contracts, and followups; can only view invoices and projects.
  • Accountant — full access to invoices, but view-only on leads, clients, events, and other operational areas.
  • Member — view-only access across the board, useful for someone who just needs visibility without making changes.

Each role has a fixed set of permissions across every module (leads, clients, invoices, contracts, reports, and so on). You can't edit what an individual role can do — you choose the role that best fits the person's job.

Assigning roles to your team

  1. Go to Settings > Members in the sidebar.
  2. To bring someone new on board, click Invite Member, enter their email, and pick a role for them. They'll receive an invite to join your workspace.
  3. Pending invites show up in the Invitations list below the members table — you can cancel or resend one if needed.
  4. Once someone accepts, they appear in the Members list with their current role. If you have permission to manage members, you can change an existing member's role directly from this list.

Only owners and admins can invite new members or change roles. If you don't see the invite option, your account doesn't have that permission.

Viewing the role permission matrix

Go to Settings > Roles to see a read-only breakdown of exactly what each role can do — a grid showing every area of the app (leads, clients, invoices, contracts, settings, etc.) and whether a given role can view, create, edit, or delete in that area. This is useful when deciding which role to assign someone, or explaining to a team member why they can't perform a certain action.

If this page shows a permission notice instead of the table, it means your own role doesn't include rights to manage roles — ask an owner or admin on your team.

Things to know

  • Roles apply per organization. If you're part of more than one studio workspace, your role can be different in each one.
  • You can't create custom roles. The six roles above are fixed; you assign the closest match rather than building your own from scratch.
  • Permission changes take effect immediately. If you downgrade someone's role, pages and actions they no longer have access to will stop working right away — they may need to refresh the page.
  • Settings and integrations are locked down. Only owners and admins can change organization-wide settings (branding, finance defaults, notifications) or connect integrations; everyone else can only view them.
  • Invoices are accountant territory. Sales and managers can see invoices but can't create or edit them — that's reserved for accountants, admins, and owners, keeping your financial records controlled by fewer people.
  • There's always at least one owner. This prevents a studio from accidentally locking itself out of its own settings and billing.
