A first-day checklist to get your studio running in Outkite.
Here's what to do on your first day in Outkite, from setup to your first paid, delivered booking.
- Create your organization. Sign up and set up your studio's workspace — this is where all your leads, clients, and bookings will live.
- Set up your Catalog. Go to Catalog and add the services, deliverables, and packages you offer (e.g. "Full Day Wedding Photography", "Drone Coverage", "Wedding Album"). Proposals and invoices are built from these, so it's worth doing this first.
- Configure lead statuses and settings. In Settings, review your lead pipeline statuses (new, engaged, qualified, won, lost) and adjust team roles and preferences to match how your studio works.
- Capture your first lead. Add a lead manually from the Leads area, or share your public lead capture form so inquiries land in Outkite automatically.
- Send a proposal. From the lead, build a proposal using items from your Catalog and send it as a shareable link. You'll be able to see when the client opens it.
- Get it signed via contract. Once the client accepts, convert the proposal into a contract and send it for e-signing — clients sign securely with an OTP, no printing required.
- Invoice and get paid. Raise an invoice from the signed contract, share it with the client, and record payments and milestones as they come in.
- Deliver via Projects. Once the contract is signed, a project is ready for your delivery work — track tasks and status through to final handover.
A few things happen automatically along the way:
- Starter follow-up templates are created for every new organization so you never forget to nudge a quiet lead or client. You'll find them under Follow-ups > Templates, where you can edit or delete them anytime.
- Notifications keep you and your team posted on key events — new leads, signed contracts, payments received — without needing to check every module manually.
Once you're comfortable with the flow, explore Reports for a view of how your studio is performing, and Integrations to connect Google Calendar, WhatsApp, or Meta Lead Ads.
