Clients

How converted leads become clients, and how to manage their notes, tasks, and activity.

What Clients are for

A Client is a lead that has said yes. Once a lead books with you, you convert it into a client record, which becomes the permanent home for everything related to that person or couple going forward — contact details, notes, tasks, and (as you use more of Outkite) proposals, contracts, payments, and projects.

Clients keep your day-to-day work organized around the person you're actually shooting for, instead of scattered across leads and inboxes.

How a client gets created

You never create a client by hand. Clients are only created by converting a lead:

  1. Open the lead from the Leads list.
  2. Click Convert to client on the lead's detail page.
  3. You're taken straight to the new client's detail page.

This carries over the lead's name, email, phone, and any notes onto the client, and keeps a link back to the original lead. The lead itself isn't deleted — it stays in your Leads list, but its convert button now reads View client and takes you back to this client record instead.

A lead can only be converted once. If you try to convert an already-converted or archived lead, Outkite blocks it.

Because of this, the Clients list has no "add client" button — if you don't see someone you expect there, they haven't been converted from a lead yet. Convert the lead first.

The Clients list

The Clients page shows every converted client with:

  • Name, email, phone, city
  • The lead they were converted from (linked)
  • When they were created
  • A count of their open tasks

Use the search box to find a client quickly by name, email, or phone. Click any row to open that client's full detail page.

The client detail page

Each client has a header with their contact info (edit it any time via Edit in the header, which opens a side panel) and a set of tabs:

  • Overview — contact and address details, GSTIN if you've added one, a link back to the source lead, the client's notes, and a preview of recent activity.
  • Notes — a running log of notes about this client, newest first, each stamped with who wrote it and when. Add a note any time from the form at the top. You can delete your own notes; deleting someone else's note requires elevated permissions.
  • Tasks — a to-do list scoped to this client (e.g. "Send album options," "Follow up on final payment"). Each task has a due date, an assignee, and a status you can update inline (open, in progress, done, cancelled). Add new tasks from here; delete asks for confirmation first.
  • Activity — a timeline of everything that's happened on this client: conversion, edits, notes added, tasks created or completed, and so on, newest first, with who did it.

As you use more of Outkite — proposals, contracts, payments, and projects — additional tabs will appear automatically on this same page. You don't need to do anything to enable them.

Things worth knowing

  • Conversion is one-way and permanent. There's no "undo" — if a lead was converted by mistake, edit or manage it as a client rather than expecting it to revert.
  • Deleting a lead doesn't delete its client. If a converted lead is later removed, the client record stays intact; it simply loses the "converted from" link on its Overview tab.
  • No manual client creation or deletion. Clients only come from converting leads, and there's currently no way to archive or delete a client from the UI. Keep this in mind if you're testing or need to clean up test data — do it via the lead, not the client.
  • Open-task counts update automatically on the Clients list as tasks are completed or added — you don't need to refresh anything manually.
  • Everything you do on a client is logged. Notes, task changes, edits, and conversion all show up in that client's Activity tab, so you always have a record of who did what and when.
