Meta Lead Ads & AI Tools
This feature does two things: it pulls new enquiries from your Facebook/Instagram lead ads straight into your pipeline, and it gives you two AI helpers — drafting proposal content and turning a screenshot of a chat into a lead. Both AI tools always show you a draft first; nothing is saved until you review and confirm.
Connecting Meta Lead Ads
Go to Settings > Integrations and find the Meta Lead Ads card.
- Click Connect and enter your Facebook Page ID and a Page access token.
- Outkite checks the token against the page before saving the connection. If it's invalid, you'll see an error and nothing is connected.
- Once connected, the card shows a Connected badge. If the token later expires or is revoked, the badge switches to Reconnect required — you'll need to generate a new token and reconnect.
You can disconnect at any time from the same card; this removes the connection but does not delete any leads already created from it.
Mapping lead form fields
Facebook lead forms use whatever field names and labels the ad was built with, which rarely match your lead record exactly. After connecting:
- Open the field mapping editor on the Meta Lead Ads card.
- Outkite fetches your page's live lead forms and their field names.
- Map each Meta field to the matching lead field — name, partner's name, email, phone, wedding date, location, budget, or notes.
- Save the mapping.
Any Meta field you don't map isn't lost — it's appended into the lead's Notes so you can still see it, just not as a structured field.
What happens automatically
Once connected and mapped, no further action is needed for new leads to arrive:
- When someone submits one of your connected Facebook/Instagram lead forms, Outkite receives it, looks up your organization, and creates a new lead automatically — with source set to "Meta" — using your field mapping.
- The lead lands in your pipeline at the default status, with an activity entry noting it came from Meta, and you'll get a notification.
- If the same submission is somehow delivered twice (Meta occasionally retries), Outkite recognizes it and will not create a duplicate lead.
- If your page token stops working, new submissions can't be processed until you reconnect — the integration card will flag this so you notice.
This is one-directional: Outkite pulls in new leads from Meta, but nothing you do in Outkite is sent back to Facebook.
Drafting proposals with AI
Inside a proposal, look for Draft with AI. This generates a suggested proposal — an intro message plus a set of line items pulled from your existing packages, services, and prices — based on the lead's details.
- The draft opens in a review pane. Nothing is created yet.
- Edit or delete any item, adjust the wording, or discard the draft entirely.
- Only when you accept does it become a normal, fully editable proposal version, exactly as if you'd built it by hand.
Prices always come from your actual catalog — the AI never invents pricing.
Importing a lead from a chat screenshot
If a couple reaches out over Instagram DM, WhatsApp, or another chat app, you don't have to retype their details.
- From the leads list, or when creating a new lead, choose Import from screenshot.
- Upload an image (PNG, JPEG, or WebP, up to 5MB).
- Outkite reads the image and prefills a normal "create lead" form with whatever it could find — name, partner's name, phone, email, wedding date, location, budget, notes.
- Review and edit every field as needed, then submit.
The lead is only created when you submit the form — an unreadable or irrelevant image just shows a friendly error and creates nothing.
Limits to know
- AI features (proposal drafts and screenshot imports combined) are capped per organization per day. If you hit the limit, wait until the next day or ask an admin about raising it.
- Meta lead capture depends on your Page access token staying valid — tokens can expire or be revoked from the Facebook side, so check the Integrations card periodically if leads seem to stop arriving.
- Only staff with integration-management permission can connect, disconnect, or edit the field mapping.
