Google Calendar Integration

Connect Outkite to Google Calendar so every shoot you schedule automatically appears on a calendar your whole team already checks — and changes made in Google flow back into Outkite too.

What it's for

If you or your team live in Google Calendar day-to-day, this integration keeps it in sync with your shoots in Outkite. Once connected:

• Creating, editing, or deleting a shoot in Outkite updates the matching event on your chosen Google calendar automatically.
• Editing that event's time or details in Google Calendar updates the shoot back in Outkite, so a quick change made from your phone isn't lost.

This is a two-way sync for shoots only — it doesn't import your other Google events into Outkite, and it doesn't sync leads, tasks, or invoices.

It also powers the Meet quick-contact button on a lead's detail page: with Google Calendar connected, one click creates a Google Meet-enabled event for that lead and opens the Meet link. Without a connection, that button stays muted with a nudge pointing back here.

Connecting your calendar

1. Go to Settings > Integrations.
2. Find the Google Calendar card and click Connect.
3. Sign in with the Google account whose calendar you want to use, and approve the requested calendar access.
4. You'll be brought back to the Integrations tab, where the card now shows Connected along with the Google account you connected.
5. Use the Synced calendar dropdown to pick which calendar on that account should receive your shoots (your primary calendar is marked accordingly). Nothing syncs until you pick a calendar.

Only users with permission to manage settings can connect, reconnect, disconnect, or change the synced calendar.

Day-to-day behavior

• New shoot → a matching event is created on your synced Google calendar.
• Edited shoot (date, time, details) → the Google event updates to match.
• Deleted shoot → the Google event is removed.
• Edited in Google Calendar → the shoot in Outkite updates the next time the sync runs, which happens automatically roughly every 15 minutes. You don't need to trigger anything manually.
• If you edit the same shoot in both places around the same time, Outkite won't let an older Google edit overwrite a newer change you made in Outkite.
• Events you create directly in Google Calendar (not started from a shoot in Outkite) are left alone — they won't show up as shoots in Outkite.

Reconnecting and disconnecting

• If Google access is revoked or expires (for example, you changed your Google password or removed app access), the card switches to Reconnect required. Click Reconnect and sign in again — nothing else is affected.
• Click Disconnect to stop syncing entirely. This removes the connection immediately; shoots you create afterward simply won't sync to Google, and nothing is deleted from either system.

Good to know

• Only one Google calendar can be synced per organization at a time.
• Sync is one calendar per studio, not per staff member — pick a calendar the whole team can see (a shared or dedicated shoots calendar works well).
• Changes sync within a few minutes, not instantly — if you need an update to reflect immediately, check back shortly rather than refreshing repeatedly.
• If your Google account requires periodic re-approval (Google occasionally does this for security), you'll see the Reconnect required state — this is expected and just needs a quick reconnect, no data is lost.
